Dispatch

Accountability, high volume, speed and efficiency were the goals for the Beacon Team when they put dispatch into Dispatch Anywhere. The system was designed to dispatch more calls with less stress, less dispatchers, and increased employee accountability. To do that, Dispatch Anywhere had to be automated and eliminate many of the common mistakes a dispatcher can make, yet still provide enough flexibility to do the job properly. Added were enough checks and balances to require all employees to be accountable for their jobs. From this, a state-of-the-art high-tech dispatch system had evolved.

Call takers and dispatchers need to input information from over the phone fast and efficiently. For this reason, customizable templates autopopulate the call entry screen with customer-specific data such as destinations, zones, and phone numbers. Going a step further, as you type, the auto-fill feature completes input boxes such as account names, types of cars, cities, requested truck types, and reasons for the services. Colored input boxes also inform the call taker of required customer information.

Digital Dispatching is supported, which allows Motor Clubs, and even customers with accounts, to send calls over the Internet. Calls are transferred to the system over the Internet and ready for dispatching in less than 15 seconds. Additionally, this allows dispatchers to multi-task, accepting digital calls while entering incoming phone call requests without putting the customer on hold.

Dictating calls over a radio takes time, delays drivers, and can stress dispatchers. With Drag & Drop Dispatching, drivers are assigned to calls then automatically paged with the information including itemized services and pricing. Furthermore, drivers are cleared from previous calls, all in this one step. From there, Mobile Time-Stamping allows drivers to update the status of the call according to what part of the call they have completed. These statuses include Confirmed, Arrived, Hooked, Dropped, and Finished. When a driver selects Finished on his pager, Dispatch Anywhere automatically moves that call into the Finished area, changes the driver status to Clear, and verbally alerts the dispatcher of what call has been cleared. These optional alerts, which vocally read call information and the driver's name, can be especially useful for dispatchers who perform other tasks in addition to dispatching.

Not only can drivers time stamp calls, they can also send information, such as VIN and ticket numbers, back to Dispatch Anywhere. This information is sent directly from the mobile device to the proper fields on the call screen.

Need information such as map locations, driving directions, or tow information on a specific vehicle? TowMap and TowSpec are linked directly to the Address and Vehicle fields of the selected job so a dispatcher may retrieve this information quickly.

Beacon customers have found that with Dispatch Anywhere, dispatchers are able to be proactive rather then reactive, eliminate the stress from dispatching, and get more calls out of a driver per shift then ever before.
